How to set up a secure ConferZoom meeting room

Follow these Download steps to set up a secure ConferZoom Room.

This is a workaround to make certain that you have as many protections in place as possible and only the people you invite are able to access the Zoom call.

Create Your Cuesta Zoom Settings

Check out these recommended settings for creating a virtual door in CuestaZoom Room. These are global settings for your entire CuestaZoom account. You will have some additional settings when you create your meetings as well.

Go directly to your settings in ConferZoom.  Choose the following options:

  • Disable join before host.
  • Mute all of your students upon entry. 
  • Prevent Private Chat Messages among participants.
  • Auto-save chats. 
  • Allow host to put attendee on hold.
  • Turn off all screensharing from students as needed.
  • Turn off allow all removed participants to rejoin.
  • Turn on identify guest participants in the meeting/webinar.
  • Turn on Waiting Room. (Depends on your class size, but All Participants works best... )
  • Turn off Join from Browser Link.
  • Turn off Allow Live Streaming.

Schedule a Meeting in ConferZoom

  1. Go to Zoom.us Links to an external site. Click Login
  2. Make sure to click SSO button to log in with Cuesta Credentials
  3. Click Schedule a Meeting
  4. Click on Recurring Meeting. (No fixed time is the easiest setting. You can then record your meetings as you have them.) It’s a good idea to schedule a meeting for each class section that you teach for the semester. 
  5. Decide what additional settings you wish to have for your meeting:
    1. Meeting Password
    2. Video 
    3. Audio
  6. Make certain that you check Enable Waiting Room. This will give your meeting an added measure of security even if you have set this in your general ConferZoom settings.
  7. Click Save.
  8. Copy the Join URL link to share with attendees.

Schedule meetings in your Canvas Course

Enable TechConnect Zoom in your course navigation link in your course in Canvas. You will need to do this for each course you teach.

  1. Click SETTINGS in your course navigation menu and then click on the Navigation tab. Scroll down to the disabled list and to locate TechConnect Zoom, click the three dots on the right side and click Enable
  2. Click SAVE
  3. Click on TechConnect Zoom in the course navigation to active your course
    1. Click Authenticate if using the first time.
  4. By default your course meetings will display (none at first)
    • Click Schedule a meeting to create a new course meeting 
    • Click on the top right "All my Zoom Meetings/recordings" to view all meetings.
  • To import a meeting (such a a link to office hours for all courses)
    • View all your zoom meetings and grab the meeting ID for your office hours
    • Then click the three dots on the right
    • Click Import Meeting
    • Enter the Office hour course ID
  • To remove the imported meeting from your course
    • Then click the three dots on the right
    • Click Disassociate Meeting
    • Enter the Office hour course ID
